The Finance Assistant plays a key role in the processing, maintenance, and reporting associated with the museum's financial records and serves as a finance ambassador throughout the museum.

This position reports to the Chief Operating Officer and works closely with all other staff in the Finance Department.  The Finance Assistant has daily interaction with other museum staff members and with museum vendors.

  • Prepare all cash deposits and related general ledger postings.

  • Process remote deposits and virtual terminal credit card payments as needed.

  • Reconcile petty cash as needed.

  • Prepare and post all accounts receivable activity.

  • Process and report all cash receipts.

  • Process all accounts payable activity.

  • Assist in the preparation of grant and other funding reports.

  • Post credit card and wire transfer payments.

  • Assist with annual audit preparation.

  • Complete various month-end reconciliations.

  • Maintain Finance files and records.

  • Assist with logistics and documentation of various Board subcommittee meetings.

  • Provide general Finance Office assistance as required.

  • Perform other duties as assigned.

  • Minimum of three years of related experience, preferably in a not-for-profit environment.

  • Preference given to candidates with Blackbaud Financial Edge and Altru experience.

  • Proficiency in Excel and Word.

  • Proven experience with financial reconciliations and cash management.

  • Demonstrated hands-on experience with month-end and year-end closing processes.

  • Superior analytical skills and an outstanding attention to detail.

  • Ability to work independently and as part of a team.

  • Excellent customer service skills.

  • Outstanding verbal and written communication skills.

  • Strong sense of humor.
